Who are we?
We are a private ultrasound clinic. Our aim is to deliver a safe, efficient, effective, high quality, cost effective ultrasound service without a waiting time to patients in the local community. This will be in a relaxed and friendly environment rather than a hospital setting.

How do we collect information about you?
We obtain information about you when you attend the clinic and fill in a self referral form, when your GP, consultant, midwife or other healthcare professional refers you for an ultrasound scan or when you telephone to book an appointment or e-mail us.

What type of information is collected from you?
When you e-mail us – the personal information we collect might be your name, e-mail address, contact number, DOB, reason for contacting us including clinical information, GP details or any other personal information relevant to the scan booked.

If you pay for an appointment by debit card the card information is not held by us but by our 3rd party processors (Sysnet in compliance with Data Security Standard PCI DSS version 3.2), who specialise in secure online capture and processing debit card transactions.  Information from telephone transactions is securely destroyed after the payment has been processed.  A card receipt will be given to you when you attend for your appointment.

How is your information used?
We may use your information to:

  • • Process bookings for an appointment you have made
  • • Seek your views or comments on the services we provide
  • • Notify you of changes to our services
  • • Send you recall notification letters which you have requested, this will include your name, address and when your next appointment is due.


We do not pass your information on to any other parties.

We review our retention periods for personal information on a regular basis.  We are legally required to hold some types of information to fulfill our statutory obligations (medical records 7 years for patients over 18 years of age and 21 years for patients under 18 years of age).

Your choices
We do not send out unsolicited marketing material.  We will only post you appointment reminders if you have requested this option on your referral form.

How you can access and update your information?
The accuracy of your informant is important to us.  If you change any of your personal details, please let us know by e-mail to:

If you wish to view any of your previous reports, images or referral forms, you can book an appointment to come to the clinic and providing you can show photo ID we will happily show these to you.

Security precautions in place to protect the loss, misuse or alteration of your information.
When you give us personal information, we take steps to ensure that it is managed securely.  Any sensitive information (such as debit card details) are protected by Sysnet in compliance with Data Security Standard PCI DSS version 3.2.

Non-sensitive details (your e-mail address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure.  As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk.  Once we receive your information, we make our best effort to ensure its security on our systems.

Any reports sent out to you or a third party of your choosing will be password protected.  The password will then be given by a different means to ensure the correct person can open it and access the information.

Profiling
If you contact us to change an appointment we will ask you to confirm your personal details to avoid releasing information to the wrong person.

Our website may contain links to other websites run by other organizations.  This privacy policy applies only to our website, so we encourage you to read the privacy statements on the other websites you visit.  We cannot be responsible for the privacy policies and practices of other sites even if you access them using links from our website.

In addition, if you linked to our website from a third-party site, we cannot be responsible for the privacy policies and practices of the owners and operators of that third-party site and recommend that you check the policy of that third-party site.

Removal of Information
If at any time you would like your personal information to be removed from our data bases and no longer wish to be contacted by KMI this will be done with immediate effect. However, we do have a legal obligation to hold some types of information to fulfill our statutory obligations (medical records 7 years for patients over 18 years of age and 21 years for patients under 18 years of age). We would need this request in writing to ensure we are removing the correct patient information from the data base.
